Creation of a regulatory database


Objective

  • The creation, from pre-existing information within the production system, or in XLS format, of a REACh database able to handle the present and future needs of the company regarding compliance with REACh.
  • To complete the information not held in the ERP by automatic interrogation of personnel concerned within the company.
  • To gather data concerning client usage by product in the framework of management of exposure scenarios and to handle the client/supplier communications inherent in this requirement.

Requirement

  • Automate the entire management of REACh compliance for all raw materials used by the company.
  • Verify the status of raw materials with the suppliers. Ensure automated communications providing for reminders and escalation to the point of suspending suppliers who do not respond in a timely manner to questions relating to the status of raw materials.
  • Provide continuous dynamic assurance of compliance in the whole chain, including surveillance of quantities (in relation to the purchasing records).
  • Gather information concerning client usage by product and provide information to suppliers relating to their responsibilities in this regard.

Profile of the company and volume of operations

  1. One of the world’s leading companies in the field of resins, present in 17 countries and with sales in excess of 2 billion Euros.
  2. 800 raw materials from more than 500 suppliers, 2 700 raw materials/supplier pairs and 800 different questionnaires sent to suppliers.

Required constraints

  • Integration of the solution in pre-existing IT systems.
  • Exploitation of XL files and their integration into the database.

Functions

  • Sending of internal forms for the purpose of :
    • Completing files with missing information (reference, CAS, ENEICS, Quantities…)
    • Checking existing information
    • Managing dialogue with REACh Manager
    • Automatic updating of the regulatory database.
  • Sending of external questionnaires (suppliers, in order to:
    • Gather information (pre-registration, recommended usage...)
    • Managing dialogue with REACh Manager

  • Dynamic creation of client questionnaires containing:
    • Product usage covered by the company
    • All products purchased by the client
  • Client responses
    • Direct response to questionnaires sent out
    • By attachment of external documents (.doc, .xls, URL…)
  • Automatic communication of usage not covered to suppliers
    • Analysis of client responses on additional usages
    • Direct transmission of client responses
    • Historical serialisation of events
  • Upkeep of product references
    • Impossibility to create a reference within the ERP
      • If the product is not referenced in the regulatory database
      • If the product is not in compliance with Reach regulations
  • Alerts on quantity thresholds
    • From the raw materials purchasing chains
  • Production of suspension certificate
    • For suppliers who do not respond within the programmed time limits
    • Blockage of the supplier at the purchasing chain level

Advantages

As from the analysis of requirements to the implementation in production, the RimaOne solution required 45 man/days for RimaOne and 50 man/days for the client, of which 5 days were for training of the basic users.
